ExVIA is a Power-of-Attorney (POA) affairs-management tool. Agents use ExVIA to manage a Principal’s outside-world tasks, ledgers, attachments, and Matter records under a valid POA. ExVIA is not a bank, not a jail-trust vendor, not a law firm, and not a financial-institution service. ExVIA stores user-entered information and does not process or guarantee financial transactions.
2. Roles and Definitions
- Principal: The individual granting POA authority.
- Agent: The authorized user acting under a valid POA.
- Matter: An individual file, task, or record being managed in ExVIA.
3. Data We Collect
- Account and POA context: Agent name, email, POA details, and Principal identifiers provided by the Agent.
- Matter data: Ledgers, itemizations, notes, receipt attachments, and exports uploaded by the Agent.
- Device and usage: Log data, device type, browser, coarse location (based on IP), timestamps, and feature usage.
- Support communications: Emails or messages you send us.
4. How We Use Data
- To operate and improve ExVIA functionality for authorized Agents.
- To maintain audit-ready logs and exports initiated by the Agent.
- To provide support, detect misuse, and maintain security.
- To comply with applicable law and enforce our agreements.
5. What We Do Not Do
- We do not hold or transmit funds, open accounts, or process payments.
- We do not provide legal advice or legal representation.
- We do not integrate with inmate or correctional trust systems.
- We do not verify the accuracy, legality, or completeness of Agent-entered data.
6. Cookies and Tracking
We use minimal cookies and local storage to maintain sessions, preferences, and security. No third-party advertising trackers are used.
7. Device Permissions
If enabled by the Agent, ExVIA may access device storage to attach receipts or documents. Permissions are requested at the time of use and can be revoked via device settings.
8. Data Sharing
- Vendors: Service providers for hosting, storage, logging, email, and security. They process data under contract.
- Compliance: We may disclose data when required by law or to protect rights, safety, and integrity.
- No selling: We do not sell personal data.
9. Security
We employ reasonable administrative, technical, and physical safeguards. No system is perfectly secure; Agents are responsible for safeguarding credentials and limiting POA access.
10. Data Retention
Data is retained while the account is active and as needed for compliance, dispute resolution, and auditing. Agents may request deletion subject to legal and operational limits.
11. Your Rights
Depending on your jurisdiction, you may have rights to access, correct, or delete your data, and to restrict or object to certain processing. Contact us to exercise these rights.
12. Non-Institutional Status Statement
ExVIA is not affiliated with correctional systems, courts, banks, credit unions, or other financial institutions. ExVIA solely hosts POA-authorized records and audit logs; it does not manage, move, or safeguard funds.
13. Acceptable Use and Prohibited Conduct
Agents must only upload data they are authorized to manage under a valid POA. You must not use ExVIA for unlawful purposes, unauthorized access, harassment, fraud, or to store sensitive data unrelated to POA-authorized activities.
14. Children’s Privacy
ExVIA is not directed to children under 13 and should not be used to manage data about children without appropriate legal authority.
15. International Users
ExVIA is designed for U.S. use. If you access ExVIA from other regions, you are responsible for compliance with local laws.
16. Changes to this Policy
We may update this Privacy Policy. Updates will be posted with a new “Last updated” date. Continued use after changes constitutes acceptance.
